Asset registers, network documentation kits, SOP libraries, dashboards and Notion workspaces for IT teams and growing organisations. Download, customise, deploy this week.
[01] The problem
That works until it doesn't. A key staff member leaves. A licence lapses and a critical system stops working. An auditor asks for an asset register. A server fails and nobody knows how it was configured. Each of these moments costs time, money and credibility, and almost every one is avoidable with basic documentation.
Infralogic Systems creates professional documentation and productivity templates for IT teams, operations managers and growing organisations. Our templates give you a ready-made structure for the records every organisation should keep: assets, networks, licences, procedures, incidents, vendors and projects. You fill in your details, adapt the structure to your environment, and finally have a single source of truth.
Too often, the answers live in someone's head, a WhatsApp chat or a notebook in a drawer.

[06] Start here
If you are documenting from scratch, the number of possible records can feel overwhelming. We recommend starting with three templates. The IT Asset Register gives you visibility of everything you own. The Software Licence & Subscription Tracker prevents expensive surprises at renewal time. The Employee IT Onboarding & Offboarding Checklist closes one of the most common security gaps: former staff who still have access to email, files and systems. Once those three are in place and maintained, add the Network Documentation Kit and a handful of your most important SOPs. Then move on to the Helpdesk Ticket Tracker and continuity plans. Building gradually means each new record is actually maintained, rather than abandoned after the first week.

[08] Customers
Each template is licensed for use within one organisation. Managed service providers and consultants who want to use templates across multiple client organisations should choose our Multi-Client Licence. See our Template Standards page for details.
Template StandardsMany organisations in Ghana run on a mix of new and legacy equipment, multiple internet providers for redundancy, UPS and generator backup, mobile money for some payments, and IT responsibilities shared among staff who also have other jobs. Our templates reflect that reality. Asset registers include fields for power protection equipment. Network kits cover multiple ISP links and failover. SOPs are written so that a non-specialist staff member can follow them.
[09] Documentation notes
Many organisations start with scattered spreadsheets: one for assets, another for licences, a third for vendors, each in a different format and owned by a different person. Over time they drift out of date and nobody trusts them. Infralogic templates bring structure: consistent fields, linked references, review dates and summary dashboards. Assets link to the staff members they are assigned to. Licences link to vendors and renewal dates. SOPs reference the systems they cover. The result is not just a collection of files but a coherent documentation system that stays useful as your organisation grows.
Documentation contains sensitive information, so our templates are designed with security in mind. We never ask you to store passwords in a spreadsheet; instead, credential fields record where secrets are kept, such as a named vault in a password manager. Templates include guidance on access control: who should be able to view and edit each record, how to share files securely, and how to remove access when staff leave. Version history and change logs help you see who changed what and when, which supports accountability and audits.
Many organisations in Ghana report to boards, donors, regulators or parent companies that expect evidence of good management. An up-to-date asset register, a documented backup procedure, an incident response plan and a tested disaster recovery plan are common requests during audits and due diligence. Our templates help you produce these records in a consistent, professional format, saving days of scrambling when an auditor or donor visit is announced. They do not replace professional legal or compliance advice, but they give you a solid foundation of well-organised records.
Staff turnover is one of the biggest risks to small IT environments. When the one person who understood the network leaves, knowledge leaves with them. Documented systems change that. With clear records and SOPs, a new IT officer, a contractor or a managed service provider can get up to speed in days rather than weeks. Our onboarding and offboarding checklists also make sure that access is granted and removed properly every time someone joins or leaves.
Our templates come from practical experience supporting offices, schools, clinics, NGOs and growing companies. They reflect the environments we actually see: a mixture of laptops of different ages, a couple of shared printers, two internet providers for backup, a UPS that may or may not still hold a charge, a growing list of cloud subscriptions, and one or two people responsible for keeping everything running alongside their other duties. Every template has been used in environments like these and refined based on what proved genuinely useful. We removed fields nobody filled in, added fields people kept asking for, and simplified anything that slowed adoption. The result is documentation that busy teams can realistically maintain, not an idealised framework that only works with a dedicated department.
You do not need to buy expensive IT service management software to run a well-documented environment. Our templates work in the tools most organisations already pay for or can use for free: Microsoft Excel and Word, Google Sheets and Docs, and Notion. When your organisation eventually grows into a dedicated platform, the structured data you have built in our templates can usually be exported and imported, so the effort is never wasted.
Documentation only works if it stays current. Every Infralogic template includes built-in review prompts: monthly checks for licences and assets, quarterly reviews for SOPs and network records, and an annual test of your disaster recovery plan. Our Implementation Guide suggests assigning a clear owner to each record and adding a short documentation review to existing team meetings. Small, regular updates take minutes; large catch-up exercises after months of neglect take days. Building the habit early keeps your records trustworthy and your organisation ready for whatever comes next.
When we improve a template, adding fields, fixing formulas or refreshing layouts, every buyer can download the new version at no extra cost. If you have a question about using a template, email us with your order number and we will help.
We are based in Ghana and understand the environments our customers work in. When you contact us, you speak to people who know the realities of running IT here, from power instability to multi-provider internet set-ups.
Good documentation is not a thick binder that nobody opens. It is a small set of living records that answer the questions people actually ask. What equipment do we have and who has it? How is the network set up? Which subscriptions renew this month? What should a new staff member receive on their first day? What do we do if the internet goes down, a laptop is stolen or an account is compromised? Who do we call for each system? If your organisation can answer these questions quickly and confidently from a shared source, you are well documented. Our templates are designed around exactly these questions, so the records you build are the records you will use.
